Team Administrative Assistant

Hendrick Motorsports is currently seeking a highly motivated Administrative Assistant to join our team. The Administrative Assistant will provide superior administrative, clerical and operational support services. This position will perform both routine and advanced administrative duties which are complex in nature and require independent reasoning, a high degree of accuracy, and leadership. Position requires thorough knowledge of company operations, policies, and procedures. Serve as the Administrative Assistant to an executive with duties including, but not limited to, calendar management, meeting coordination, expense reporting as well as travel arrangements.

DUTIES AND RESPONSIBILITIES

  • Receive and professionally respond to inquiries from staff members, including senior management, third party service providers and sponsors
  • Organize, plan and execute business meetings and events on and off-site
  • Assist in the preparation of confidential presentations for external parties and executive management
  • Communicate sensitive and proprietary information to senior management in a quick, efficient and courteous manner
  • Demonstrate highest levels of confidentiality when supporting tasks that require exposure to proprietary information
  • Exhibit the highest degree of customer service and professionalism while interacting with fellow employees, executives, and external service providers
  • Screen incoming calls and correspondence and respond independently when possible
  • Organize programs, events, meetings or conferences by arranging facilities and catering, issuing information and Outlook invitations
  • Prepare all expense reports for executives and other executive staff members as requested
  • Organize and maintain flies, correspondence and records, follow up on pending matters
  • Ability to distinguish priorities and modify schedules accordingly
  • Takes the initiative to follow up on items arising from business Meetings
  • Address and resolve problems which arise within day-to-day activities
  • Occasional travel required
  • Identify opportunities to improve processes and implement necessary changes
  • Other duties and responsibilities as assigned by management

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree desirable, high school diploma required
  • Three plus years of experience in office management and/or an administrative assistant role providing support to management
  • High level of proficiency with all Microsoft Office programs, including extensive experience with Outlook, Word, PowerPoint and Excel
  • Experience in professional sports teams preferred
