POSITION SUMMARY:

The Corporate Office Receptionist serves as an ambassador of IMS and provides assistance to our customers and guests as well as IMS employees.

SPECIFIC DUTIES:

  • Opens up the Administration Building Mondays through Fridays and during event days.
  • Uses telephone switchboard to connect interoffice and house calls.
  • Answers, screens, and routes outside calls.
  • Supplies accurate information to callers.
  • Greets the public, answers questions and gives directions.
  • Calls for transportation for guests.
  • Performs clerical duties such as typing, proofreading, labeling, stuffing envelopes and sorting mail.
  • Operating electronic door openers for delivery personnel and employees.
  • Monitors select on-property cameras.
  • Receives visitors, obtains name and nature of business and schedules appointments.
  • Updates company telephone directory.
  • Becomes familiar with the facility and the various events held onsite.
  • Enthusiasm for and commitment to the corporation and the Vision, Mission and Values.
  • Other duties as assigned by the supervisor.
  • Appropriate business casual attire required.

Education

High school graduate or GED.

Skills/Experience

  • 1-3 years’ experience in a similar role.
  • High integrity and confidentiality.
  • Strong interpersonal skills.
  • Innovative thinker and self-starter.
  • Effective communication skills.
  • Proficiency with Microsoft Office products.

Travel/Work Hours

  • Standard office hours, Monday through Friday, 7:30 a.m. to 4:30 p.m.
  • No travel, however, this position requires working on event weekends as well as evening hours based upon our business needs. Flexibility and adaptability are key skills needed for this role.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Physical demands are light, consisting primarily of sitting, standing and walking. Must be able to lift up to 50 pounds. Must be able to see and hear in the normal range with or without correction and communicate verbally and in written form with great facility and must be able to be understood. Must have the stamina to work long hours and must be willing to work an irregular schedule, which may include weekends or evenings.

Work is performed in an indoor office environment and near other workers. Employee is faced with frequent interruptions and must work near others. The noise level in the work environment can be loud, due to professional racing events.
