Corporate Events Coordinator

Corporate Events Coordinator Position Summary:

The Corporate Event Coordinator is a critical role toward the success of Atlanta Motor Speedway meeting its annual revenue objectives and following its guiding principles of creating memorable events, positively impacting the community and profitably improve. The ideal candidate will obtain significant ownership of the speedway’s corporate event business, provide major supporting responsibilities during the NASCAR weekends and will gain an opportunity for advancement toward Manager and Director levels within the sales department.

The Corporate Event Coordinator will be responsible to be on site for all corporate events, special events, major events and other events as needed. Their work week schedule will be flexible to accommodate the number of weekend events and their daily schedule may start later in the day to allow for evening events. Work from home flexibly may be earned over time based upon command of core responsibilities, familiarity of teammates, discretion of VP of Sales.

Primary Daily Responsibilities:

  • Develop, present, and implement customized corporate event packages via available facility inventory
  • Work with Business Develop Executives to cultivate new event rental opportunities for local, regional, and national businesses (Prospecting, appointment setting, executing presentations)
  • Manage Facility Schedule to include major events, corporate event rentals and blocking out major event windows and preparation time.
  • Maintain department’s Corporate Event Playbook and continue to better define track rental/corporate events best practices and processes
  • Work with Client Services Manager to prepare corporate event contracts and processing of executed contracts
  • Manage Corporate Event Implementation Process - Pre-event through execution client coordination and management
    • Coordinate with 3rd-party vendors for corporate event rental needs (quotes, COI, payments, etc.)
    • Creating the task list for Operations Person of the day (working with Ops)
    • Responsible for the coordination of track services staffing including recruitment, hiring, training, and scheduling.
    • Work with Events & Operations Teams for events set up, clean up and tear down. Including but not limited to moving/setting up tables, chairs, linens, trash barrels, bike rack, etc.
    • Gain knowledge and be able to operate all audio-visual equipment needed for rental customers.
  • Other duties as assigned

NASCAR Weekend responsibilities:

  • Primary support/backup for Client Services Manager
  • Co-Manage Tent Vendor/Orders and placement
  • Sales department liaison to AMS Ambassadors
  • Manage department garage tours program
  • Co-Management of Fan Engagement areas for major event weekends
  • Coordinate all aspects of department Golf Cart and Radio orders
  • Co-Manage corporate hospitality with Client Services Manager
  • Assist with Official Vehicle Sponsorship vehicle logistics
  • Other duties as assigned

Skills and Minimum Qualifications:

  • Bachelor’s degree or equivalent and one-to-three years’ experience
  • Excellent written as well as verbal communication skills
  • A self-starter and highly motivated to succeed
  • A positive and can-do attitude
  • Strong attention to detail
  • Physical ability to lift and move heavy objects up to 50 pounds
  • Team player with a high level of integrity
  • Proficient in Microsoft Office (Excel, Word, PowerPoint), Dropbox/Box
  • Salesforce knowledge a plus but not mandatory; willingness to learn the program
  • Knowledge in online purchase order and invoice systems a plus
  • Knowledge of budgets and budget tracking
