Asset Management Coordinator

In collaboration with Logistics, Security and the Facilities team this role will look to manage and optimize the asset management systems to minimize loss and maintain inventory accuracy.

Main Duties and Responsibilities:

  • Ensure the asset management system accurately reflects the existing location of assets across the Formula 1 estate;
  • Ensure that internal asset movements are accurately recorded by all departments;
  • Conduct regular stock counts and escalate any anomalies identified for investigation;
  • Ensure all assets are recorded with the appropriate status (travelling, damaged, approved for write-off etc)
  • Lead annual stock counts in conjunction with external auditors. Fully report and escalate discrepancies, ensuring that system adjustments are made retrospectively and that findings are reported to finance and security;
  • Work closely with cross functional teams to share asset management best practice and ensure compliance with policies and procedures on stock movements;
  • Partner with logistics to ensure a smooth handover from goods in to facilities;
  • Continuously develop processes and systems to ensure they remain fit for purpose in a fast paced business;
  • Proactively flag aged & aging assets to key internal stakeholders to initiate servicing or replacement;
  • Analyse and report on all write-off forms and processes;
  • Prepare regular reporting documents on KPI’s including shrinkage, damages and theft;
  • Coordinate with the Security team to report any incidents of theft or loss as well as supporting online monitoring of illicit sale;
  • Update and maintain key documentation, including the Intranet, Policies, Procedures and Guidelines

About You

  • Experience in a similar role, either in preferably in a technical or logistics environment
  • Strong experience working with inventory management systems and stock control
  • Strong administration and computer skills
  • High attention to detail
  • Self-motivated with the ability to deliver
  • Good coordination and time management skills
  • Positive ‘can do’ attitude
  • Excellent attention to detail and driven by clear/ concise communication
  • Comfortable being the interface between different departments
