What is Nashville Superspeedway?
Nashville Superspeedway is a year-round family friendly destination in one of the fastest growing and exciting cities and in the country. We host regional sports, entertainment, and festivals in addition to our races. Nashville Superspeedway hosted its first NASCAR events in April 2001. Through 2021, the 1.33-mile D-shaped oval with 14 degrees of banking has hosted one NASCAR Cup Series race, 22 NASCAR Xfinity Series races, 14 NASCAR Camping World Truck Series events and eight Indy Racing League contests. In 2021, Nashville hosted its first NASCAR Cup Series race, the "Ally 400" , the "Tennessee Lottery 250" NASCAR Xfinity Series race, and the "Rackley Roofing 200" Camping World Truck Series race The Father's Day event was the first NASCAR Cup Series race in the Nashville area since 1984. The largest concrete-only track in NASCAR, Nashville Superspeedway is owned by Dover Motorsports, Inc., which also owns Dover International Speedway in Delaware.

Who will you be working for?
Erik A. Moses was named President of Nashville Superspeedway in August of 2020, becoming the first Black man to hold that title at any NASCAR track. Moses is leading the efforts to revitalize the Nashville Superspeedway. Prior to joining Dover Motorsports, Moses served as the founding President of the DC Defenders of the XFL. In that role, he was responsible for all aspects of the team’s business operations and fan engagement, including ticket sales, corporate partnerships, marketing, content, communications and community engagement, and the game day experience. Over the last decade, Moses served as Senior Vice President and Managing Director of Sports, Entertainment & Special Events for Events DC, where he managed many of its facilities and worked to attract major events to those venues, including Nationals Park, the Walter E. Washington Convention Center, Robert F. Kennedy Memorial Stadium and Festival Grounds, the DC Armory, the Entertainment & Sports Arena, Gateway DC Pavilion, and RISE Demonstration Center.

Job Summary:

The primary focus of the Administrative Assistant at Nashville Superspeedway is to support the Executive Assistant/Administrative Business Manager and leadership team to ensure efficient operation of the office. The Administrative Assistant will provide support through a variety of tasks related to organization and communication. You will be responsible for confidential and time sensitive material.

To be a successful Administrative Assistant Dover Motorsports, Inc. candidates should be professional, polite, and attentive while also ensuring accuracy. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both written and verbal communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of the team.

Responsibilities may include:

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and managing office supplies.
  • Providing support by booking appointments and preventing conflicts.
  • Manage reception desk.
  • Screening phone calls and routing calls to the appropriate party.
  • Greet and assist visitors.
  • Maintain polite and professional communication over all platforms.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Maintain supply inventory, ordering, and organization.
  • Administrative duties such as filing, typing, copying, binding, scanning etc.
  • Create and distribute memos to staff and visitors.
  • Book and host conference calls, room, etc.
  • Handle sensitive information in a confidential manner.
  • Coordinate office procedures.
  • Receive, sort and distribute mail and packages.
  • Receive and process company invoices.
  • Manage and execute company purchasing procedures alongside the accounting department.
  • Manage company credit card.
  • Review and approve incoming vendor insurance certificates.
  • Request and obtain necessary paperwork from on-site vendors during race weekend.
  • Manage driver/owner lot during race weekend.
  • Assist with credentialing procedures during race weekend.
  • Other duties as assigned by Executive Assistant/Administrative Business Manager.

Requirements/Education:

  • Must possess high school diploma or GED, college preferred.
  • Proven admin, assistant, or office manager experience.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to multi-task and prioritize.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office programs.
  • Must be a self-starter and demonstrate initiative.
  • Must be outgoing and personable.
  • Must be willing to assist others – customers and co-workers – and be able to work as a member of a team.
  • Must be able to work in a face-paced environment.
  • Must be able to report to work on time as scheduled.
  • Must present an overall professional appearance and report to work in appropriate attire.
  • Must be able to speak, read and write English.
