Purpose of the Role:

You’ll help deliver the Brand Experience at the MTC for our key stakeholders, the team and guests. This will be achieved via delivering best in class experiences and events which all take place on site at our McLaren Technology Centre in Woking. You will be involved in key projects and events and help support the rest of the team with the delivery of some truly captivating interactions.

With your focus on Internal Stakeholder Events, you will deliver interactive, exciting and unique events to optimise the guest interaction with the brand, highlighting key messaging throughout and driving emotional engagement.

The successful applicant will have direct responsibility for their own events largely focused on content capture logistics, supporting Partners and wider team requirements. You will ensure all activations represent the McLaren Brand and are positioned as world class to generate commercial opportunities for McLaren throughout all touch points. This will be achieved by using your passion and drive for innovation and continuous improvement.

The role requires a high volume of administration as well as being based on-site. Whilst some events are pre planned, most are often very last minute so flexibility and agility is critical to this position. Significant collaboration across multiple business functions is essential to ensure the commercial success of all events and the wider business. This in turn requires a high level of attention to detail, an ability to work in a fast paced, high performance environment and be highly organised as well as adaptable.

Whilst we do work hybrid, the specific nature of this role means that it will be essential for you to be office based on-site more frequently and the days may vary week to week. The role requires unsociable hours including weekends and can often include long hours on your feet.

Your team:

As part of our Internal Events team, you will join the wider  Brand Experience team and will report into our Head of Internal Events. The role is fast paced and varied with a team who are determined and look to push boundaries in everything they do through continuous review and innovation. The goal of our team is to create world class experiences, meaning that you'll need to be relentless in the pursuit of better and always look for ways to improve and build efficiencies across working practices. The events we deliver span across our entire racing series and you will collaborate with multiple stakeholders to drive innovation, learning and broader development.

Role Dimensions:

  • Weekend working and unsociable hours.
  • Mostly on site at Woking headquarters
  • Working within a team of 7 with own accountability for projects and events
  • Travel not required.
  • No direct reports

Principal Accountabilities:

Event Management

  • Principally responsible within the team for all content capture events with ownership for day-to-day delivery. Content capture projects are varied in size and scope and include external film companies, Partners and their crews, media outlets and bespoke projects.
  • Planning, administration, and execution of various events ranging in size and complexity, including Partner events. Including but not limited to large scale boulevard dinners, conferences, networking events and race viewings, tours and employee engagement events.
  • Supporting the team with other events as required on the day and sometimes in the planning.
  • Overall contribution to the creation of the world class brand experience of all events at the MTC.
  • Ownership of Marketing content capture days working with internal teams to ensure processes are followed with clear R+R in place and continuous review.
  • Build and develop strong relationships with key stakeholders, understanding their objectives and business challenges.


Administration

  • Administration of event enquiries ensuring bookings are managed in a timely manner.
  • Working with the team to schedule events and manage conflicting requirements.
  • Detailed recording of event specifics to ensure accurate reporting via our database.
  • Budget creation and management for each event ensuring stakeholders have given budget approval and finance systems are updated to ensure accurate invoicing.
  • Creation and timely distribution of event schedules to ensure all stakeholders are kept up to date and able to deliver on requirements.
  • Ensure all Health and Safety requirements are met.


Suppliers

  • Supplier bookings and briefings for all event requirements ensuring kept up to date and working within guidelines set.


On Event

  • Full on-site event management working with various internal and external stakeholders to project manage.
  • Ensure R+R of all stakeholders are clearly communicated and followed.
  • Deal with conflicting and challenging situations as they arise to ensure no impact to the Brand Experience.


Process and Innovation

  • Continuous review of event process to ensure operational efficiency.
  • Support the team and ownership of some wider projects to innovate the brand experience.


Other

  • Day to day responsible for the stock management of gifting and event collateral.
  • Develop a gifting concept with a focus on sustainable materials and innovation.

Job requirements

Knowledge, Skills and Experience:

  • Significant proven experience in delivery a variety of corporate and sporting events.
  • Solid experience of content capture logistics and experience working with crews.
  • Understanding of Health and Safety requirements for event delivery.
  • Excellent attention to detail.
  • Highly organised.
  • Agile and able to adapt style to work with stakeholders across multiple levels.
  • Ability to manage multiple tasks simultaneously working under pressure.
  • Able to manage own workload and deal with conflicting priorities.
  • Excellent written and oral communication skills.

based at the iconic McLaren Technology Centre (MTC) near Woking. Our state of
