Event Project Delivery Manager

Purpose of Role

Reporting to the Head of Brand Experience, we have an exciting opportunity for a proactive, dynamic and engaging individual to join the Central Events Team at McLaren Automotive. Based at McLaren’s global headquarters in Woking, Surrey, the role’s key deliverable will include the planning, management, and execution of a wide range global Brand Events, working alongside internal and regional teams to deliver strategic, effective and consistent experiences. The Event Project Delivery Manager will also need to work closely with the Brand team to ensure concepts are rolled out effectively and seamlessly across the annual calendar of events.

Principal Accountabilities

  • Project Management of a wide range of allocated Brand Experience, and Brand Marketing Events from planning to on-location event operation and delivery
  • Main point of contact with internal and external stakeholders and customers for allocated events both pre, during and post event
  • Overall responsibility for pre and post event reconciliation on the allocated events including resource and suppliers, budgeting etc.
  • Responsible for all on-event movements of all participants, staff and hosting executives, working closely with staff attending.
  • Ensure that on event duties and McLaren standard are maintained at events including health and safety process by all parties including suppliers
  • Responsible for vehicle fleet team and Event Operations team to coordinate vehicle requirements and movements, and technical support from load-in through to load-out where appropriate
  • Responsible for all deliverables and maintaining relationship with any appointed event agency working on allocated events with regular communication
  • Coordinate with the Central Sales & Marketing teams to ensure adherence to brand position and guidelines
  • Ensure compliance to McLaren Brand values and event standards in Brand Events activity company-wide
  • Regular collaborative working and co-ordination with various teams across the business, including PR, Marketing and Engineering to create outstanding experiences
  • Demonstrate centre of competence by supporting the regional teams, in the implementation and delivery of local events, ensuring maximum output in leveraging infrastructure and concepts following Tier I events
  • Build strong relationships with key stakeholders, understanding their objectives and business challenges
  • Work with the Event Executive and Guest Management team to support promotion and sales of customer experiences
  • Manage event project trackers, ensuring events managed are delivered on time and within budget
  • Manage event project updates and reviews for central and regional reporting
  • Prepare event reports after an event has taken place (where applicable) to support future event activity and facilitate continuous improvement.
  • Liaise with the CRM and regional teams to create all external event communications and event registration, monitor and report progress throughout
  • Overall responsible for all allocated event budgets are recorded, updated and communicated and ensuring project team are on track with supplier PO and payment terms.
  • Drive event supplier negotiation and approval
  • Liaison with Planning Manager to ensure consistent deliver of the events year on year
  • Liaison with Planning Manager on enhancements for each event delivered for continuous improvement
  • Creative thinking towards delivery to drive cost saving whilst not impacting the customer experience

Knowledge, Skills and Experience

  • 8+ years in Event Management in a similar field
  • University Degree qualification preferred
  • Extensive experience in the luxury segment, preferably in the automotive or motorsport sector
  • People and project management experience
  • Budget management experience of £1M+ per event.
  • Strong supplier management and relationship building skills and experience.
  • Ability to manage multiple suppliers simultaneously
  • Excellent and influential communicator with equivalent negotiation skills
  • Strong problem-solving skills.
  • Able to work well as part of a team with a collaborative and positive approach
  • Excellent administration and time management skills.
  • Experience of dealing with clients and stakeholders on a global basis at all levels
  • Excellent organisational and coordination skills
  • Strong IT skills including Excel, PowerPoint, Outlook, Word, and Microsoft office packages.
  • Strong business acumen to deal with P&L budgets.
  • Fluent use of English Language required in both verbal and written.
  • Experience and/or significant understanding of the Super Luxury Automotive sector
