YOUR ROLE

This is a varied role with responsibilities split between two main areas: overseeing visa applications and race travel logistics, primarily handling flights and transfers.

WHAT YOU WILL BE DOING

  • Comprehensive travel coordination of dedicated races
  • Build close relationships with chosen corporate travel company and/or other agencies to secure the best options
  • Use technical experience and questioning skills to identify opportunities to achieve ‘best value’ for Formula E
  • Source the most appropriate travel solution by understanding role, responsibilities and commitments of travelers
  • Provide on-call response to queries when needed and when requested provide support by travelling to the races around the world
  • Act as a key reference point for escalation of travel issues
  • Ensure recommended travel plans meet expectations for quality, accuracy, productivity and revenue
  • Be able to work to very tight deadlines in a high-pressured environment
  • General administration duties
  • Any other tasks as directed by line manager

Visaspecific:

  • Research and collate information of visa requirements for countries where Formula E events take place
  • Communicate to Formula E staff, partners and teams the visa application process for upcoming events
  • Gather the relevant data from all individuals travelling to events in order to request visa invitation letters and any other supporting documents
  • Collect and check all visa applications from staff and submit to the relevant agency or embassy for processing.

WHAT WE ARE LOOKING FOR

To be successful, you’ll ideally have experience in travel, particularly in dealing with visa’s, and some knowledge of the travel industry. You will also need to have outstanding people skills, a high level of business acumen, and the ability to deliver an exceptional level of service. Some overseas travel may occasionally be required to support the travel team.

  • Some prior experience of handling visa applications and travel bookings preferred but not essential
  • Experience in a corporate travel environment or a similar role in-house in the Motorsport industry or for an events business
  • Great attention to detail and high organisational skills
  • Confident in liaising with various teams and contacts, both internally and externally at all levels
  • Effective time-management skills with the ability to meet tight deadlines
  • Must have excellent written and verbal English communication. Other languages would be an advantage
  • Ability to stay focused when working solo
  • Excellent use of Microsoft Word and Excel. Experience using Smartsheet preferred
  • Must be driven, enthusiastic and able to work with teams across all departments
  • Ability to manage high workload
  • Flexible with a desire to succeed
