Shipment Data Specialist

The Shipment Data Specialist is responsible for ensuring that shipment information is processed in a quick and accurate manner. Reviewing email communication will gather the information necessary in order to update the appropriate systems. Works with other departments to ensure update communication regarding delayed shipment, product availability, or backorder is communicated to the customer. Works with vendors regarding incomplete or missing information and escalates issues as needed. May assist with other responsibilities in the brand management or purchasing department. position requires a high level of accuracy and attention to detail.

Where you’ll spend your time:

  • Reviewing emails from vendors to determine the course of action for the email received
  • Locate the PO number and tracking information and either manually enter in the applicable system or enter on a spreadsheet for upload
  • Contact the vendor when information is received that is incomplete. May include missing Purchase Order (PO) or tracking information or other necessary details
  • Review other emails and send to other departments if needed
  • Emails indicating product delay in shipment, backorder or other scenarios escalate to the appropriate customer service department
  • Research problems and correct as appropriate
  • Work with vendor to obtain status information on open PO.
  • Work with vendors to create a plan for vendors that are not in compliance with provided required data
  • Review processes and make suggestions for changes in order to improve the drop ship tracking procedures thinking of improving the customer service experience
  • Review daily reports including and take appropriate action including escalating to other departments or following up with vendors
  • Other duties and responsibilities as needed

You have:

  • Above average computer skills including Microsoft Excel and outlook. Ability to learn quickly and navigate multiple computer systems
  • High School Diploma or equivalent
  • 1 to 3 years data entry, order processing or other related experience
  • Passion to work with a team but the ability to work independently
  • 1 to 3 years of customer service or experience working with vendors
  • Communication skills, including experience explaining processes, gathering information or negotiation
  • Ability to enter information with high accuracy
  • Previous experience gathering information from multiple documents with high accuracy
  • Solid attention to detail with an emphasis on work accuracy

You might have:

  • ERP experience such as Mas 500 or NetSuite
  • Advanced Excel experience and experience with Microsoft SQL
