Purchasing Agent

The Purchasing Agent is responsible for establishing the proper business practices and executing a range of responsibilities - procurement, contract management, supplier relationship management, receiving, shipping, warehousing, and data/systems management. The goal of this position is to source adequate and accurate materials and supplies so there is no interruption to manufacturing. This role is tasked with researching materials that meet outlined specification, seeking best price, monitoring inventory levels and forecasting future requirements. This role will develop new practices applicable to contract manufacturing and will evaluate how those practices can be applied to existing racing operations as the racing industry evolves.

Primary Responsibilities:

  • Prepare and process requisitions and purchase orders in adherence to company procurement policies and contract terms
  • Execute the complete procurement process, basing ordering decisions on pricing, quality stipulations, contract terms and production rate requirements
  • Communicate with vendors regarding order placement, product information and pricing, order follow-up
  • Identify and resolve issues related to product quality, pricing, delivery, utilization, loss
  • Manage defective parts with suppliers through process of return or replacement
  • Identify primary suppliers/the most appropriate supplier for the designated product, determine availability, perform comparative pricing, and negotiate pricing, and establish delivery requirements/timelines
  • Own the supplier relationship management process. Lea the supplier selection process, new supplier development
  • Maintain current information on purchase orders through continuous review of vendor acknowledgements and expected shipping/delivery dates for open PO lines. Directly contact supplier to obtain needed updates.
  • Ensure product data integrity in the ERP system. This includes the review for accuracy of new products entered (part numbers and descriptions, product category, vendor information, internal coding)
  • Ensure accuracy and timeliness of purchasing, shipping, and receiving transactions
  • Become super-user of AX ERP supply chain management modules and be an active participant in optimizing AX ERP supply chain management modules to satisfy evolving operational needs and efficiencies
  • Maintain Microsoft Dynamics AX ERP supply chain management modules to ensure alignment with business objectives
  • Take a lead role in optimizing the AX Production Module, and Master Planning Module for contract manufacturing
  • Develop sourcing plans and objectives (short and long term) in consideration of lead time, MOQ, safety stock, etc.
  • Develop reporting/communication methods regarding material availability and status
  • Create pro-active reporting and analysis to aid upper management in evaluating purchasing decisions. * * Provide analysis and reporting as requested by leadership.
  • Document and maintain purchasing procedures per ISO standards
  • Implement improvements to existing processes and systems
  • Develop and/or execute shipping and receiving and inspection processes
  • Contribute to continuous improvement through participation in cross-functional project teams
  • Other duties as assigned by management

Qualifications:

  • Bachelor's degree in Supply Chain, Finance or other related degree preferred
  • 5+ years experience in procurement and/or supply chain management
  • 3+ years experience in traditional manufacturing, preferred
  • Experience with ISO 9001:2015 or equivalent required
  • Working knowledge of ERP systems, specifically procurement & sourcing, inventory management, and MRP required
  • Experience with Microsoft Dynamics AX, a plus
  • Experience in new product introduction, a plus
  • Participation on ERP software implementation team, a plus
  • Demonstrated ability in identifying and implementing structure in otherwise flexible/fluid operations
  • Proven track record developing or executing successful procurement strategies
  • Highly organized with strong attention to detail
  • Ability to persist and succeed with cross-functional communication within scope of responsibility
  • Strong written and oral communication skills. Ability to apply leadership skills in correspondence with Suppliers and Executive Management
  • Must have independent problem-solving skills and the discipline to follow-up and follow-through until problems are resolved
