Production Admin

Full Job Description

The Production Admin is responsible for a variety of administrative tasks in support of manufacturing operations involving material purchasing and production scheduling. Successful candidates will have solid computer skills and proficiency with Excel, ERP systems, as well as the ability to execute well in a fast-paced environment with great attention to detail.

Primary Duties and Responsibilities

  • Help prepare and execute the daily production plan and be ready to pivot as needed to address changes and to help identify and clear hurdles that impact manufacturing operations and the movement of product from manufacturing to inventory and fulfillment.
  • Assist the Purchasing and Scheduling Managers to perform all departmental tasks in support of immediate and long-term production objectives.
  • Proficiently utilize Excel, Word and other software programs to enter, calculate, track and update data in the ERP and on job travelers and worksheets.
  • In support of material Purchasing: Receive all purchase orders, handle all PO receiving issues, e.g., price adjustments, verify amounts ordered, received and note discrepancies. Maintain PO data, i.e., quantities, substitutions, due dates, or any other changes. Assist with vendor relations and PO maintenance and follow up. Coordinate product transfers from building-2 to building-1.
  • In support of production Scheduling: Assist with Job Traveler dispatching, close Job Travelers, verify job material consumption is correct; verify inventories and address inventory issues related to manufacturing jobs; keep Job Traveler due dates current and updated in the system, monitor and confirm that production staff are properly and accurately reporting MES data.
  • Input weekly schedule changes, notify managers of employee absence data, work with HR to coordinate and plan employee meetings, when needed, so as not to impact operations when possible.
  • Help record, communicate, and track all change orders and special deliveries resulting from errors, additional needs or product non-conformities.
  • Effectively communicate information to operations management and provide regular updates of work in progress and the status of tasks.
  • Follow all required safe work practices when on the manufacturing floor or in warehouse areas. Consistently comply with all company standards and legal regulations to ensure a safe and positive work environment.
  • Help promote a culture of respect, hard work, consistency, quality and effective communication by example.
  • Perform other duties as assigned.

Preferred Qualifications

  • Minimum 2+ years responsible office/administration experience preferred.
  • Ability to read, count, follow basic instructions and apply basic math skills in English.
  • Experience using a variety of software applications to enter data and prepare reports.
  • Excellent computer skills and proficiency with Microsoft Word, Excel, Outlook and ERP systems.
  • Ability to set priorities and problem-solve; work well under pressure and thrive in a fast-paced environment.
  • Professional demeanor, and good written, verbal, and interpersonal communication skills.
  • Strong analytical and problem-solving skills, and natural attention to detail.
  • Well organized, assertive, efficient, and self-directed with the ability to multi-task.

Physical Demands

  • Occasional situations may also require lifting, lowering, carrying, pulling or pushing boxes and items up to 50lb. in weight.
  • Requires frequent use of a computer or calculator to input data.
  • Other activities may occasionally include walking, climbing, bending, reaching, standing, and stooping.
