Partnership Marketing and Hospitality Coordinator - Seasonal

The Partnership Marketing & Hospitality Coordinator will work closely between the Partnership Sales team and Partnership Marketing team throughout the 2020 season. The individual will gain valuable experience and knowledge about partnership marketing, sales, hospitality services, live events and the motorsports industry while supporting the team with all efforts on multiple platforms. Activities will include partner activation, on and off site displays, promotional and miscellaneous events supporting partner programs/activation and the planning and fulfillment of corporate hospitality. The coordinator must be readily available to work long hours and possible weekends.

Note: This is a paid seasonal position. Candidates are responsible for their own housing and associated expenses for the duration of the season. Season runs April through August 2020. In addition to normal weekday hours, the candidate must be able to work the following event days:

  • Lucas Oil Drag Racing Series, May 29th-31st
  • ARCA and NASCAR events, June 18th-21st
  • NHRA, July 9th-12th
  • NMRA/NMCA, July 31st-August 2nd
  • Classic, August 15th

Essential Duties and Responsibilities

  • Assist the Partnership Sales and Partnership Marketing teams with all day-to-day duties and responsibilities
  • Work directly with Partnership Marketing team on daily management tasks for key accounts
  • Manage/Fulfill all sold Hospitality Programs within the company
  • Help with creation of strategic marketing/business materials for existing partners
  • Participate in the planning and execution of partner functions and events
  • Assist with asset management and tracking
  • Cultivate and maintain relationships with the company’s corporate clients
  • Work as a member of track marketing support staff during Major Events at Route 66 Raceway and Chicagoland Speedway (duties include display area management, entitlement partner assistance, partner guest relations, general troubleshooting, etc.)
  • Mailing of tickets, suite passes, and race weekend information sheets
  • Organize and manage race week events – staffing, guest lists, point of contact, etc.
  • Support the department with collecting all data and writing post-event recap reports for sponsors

  • Successful execution of responsibilities as identified above
  • Ability to prioritize and manage numerous duties
  • Contribution of new and strategic ideas for future betterment of the Partnership sales and Partnership Marketing teams.

Qualifications

  • Senior or graduate-level students or recent college graduates
  • Management, Marketing, Sports Management, or related business majors preferred
  • Excellent written and verbal skills and a strong working knowledge of Microsoft Word, PowerPoint and Excel
  • The ability to respond quickly, calmly and professionally to event-related problems and emergencies
  • Enthusiastic about marketing and the sports industry
  • Availability to work a minimum of 32 hours a week (maximum of 40 hours) during non-event time and extended hours during the time leading up to and through Major Events at Route 66 Raceway and Chicagoland Speedway
  • Must be available to work through August 15th, 2020
  • Ability to work independently and communicate efficiently and effectively with internal personnel and external clients
  • Ability to prioritize, multi-task, and maintain confidential information
  • Strong organizational skills, self-motivated and understands the nature of sales and marketing
