Job Description

NASCAR seeks a talented professional to join in the position of an Office Manager based at Phoenix Raceway. The Office Manager will manage business-related tasks for the President and additional Phoenix Raceway staff, while organizing and coordinating office administration and procedures. This position is ideal for an energetic professional who doesn’t mind wearing multiple hats, is experienced in handling a wide range of administrative and executive support related tasks and able to problem solve and work independently. Well organized, flexible and enjoys the administrative challenges of supporting a diverse team.

Responsibilities/Duties/Functions/Tasks

  • Provide administrative support for the Track President, including answering phones, coordination of daily calendars, expense reports, travel itineraries, credential requests, letter/memo/presentation creation, etc.;
  • Manage process for donation requests, process approved certificates, and coordinate delivery;
  • Oversee the guest list, distribute invitations, passes and serve as host inside the Phoenix Raceway suite during all race events;
  • Coordinate travel arrangements for all employees and complete expense reports as necessary;
  • Facilitate corporate activities that take place both inside and outside of the work place, such as holiday parties, conferences, etc.
  • Manage the procurement and distribution of staff/event apparel;
  • Maintain vehicle fleet, documentation, insurance paperwork, annual vehicle orders and coordinate repairs;
  • Process incoming and outgoing mail/packages, shipping and receiving;
  • Coordinate with IT department on all office equipment and assist with telecom and network issues and maintain inventory logs
  • Monitor and maintain office supply and breakroom inventory;
  • Organize office operations and procedures;
  • Maintain an organized filing system of paper and electronic documents;
  • Coordinate the development and execution of all office phone recordings and hours of operations;
  • Serve as primary contact with the corporate legal department on the development of all legal documents with partners, vendors, track rentals, service providers, etc.;
  • Uphold a strict level of confidentiality;
  • Other duties as assigned.

Key Skills & Proficiencies

  • Proven experience as an Executive Assistant with additional experience managing an office environment a must;
  • Proficiency in MS Office (MS Excel, Word, PowerPoint and MS Outlook, in particular);
  • Excellent time management skills, attention to detail and the ability to multi-task and prioritize work;
  • A proactive approach to problem-solving with strong decision-making skills;
  • Excellent written and verbal communication skills;
  • Strong organizational and planning skills in a fast-paced environment;
  • A creative mind with an ability to identify and suggest improvements.
