Director Event Operations

Founded in 1946, Richmond Raceway is America’s Premier Short Track. The venue annually hosts two NASCAR race weekends, featuring the NASCAR Cup Series and either NASCAR Xfinity Series or NASCAR Gander RV & Outdoors Truck Series, and an NTT IndyCar Series race weekend on the iconic ¾-mile D-shaped oval. Richmond Raceway is a regional leader for events including sports, live music and consumer trade shows. The Richmond Raceway Complex’s 1,100 plus acre multipurpose facility hosts more than 200 live events over 280 event days annually, including concerts with top national recording artists at Virginia Credit Union LIVE!, the region’s only covered amphitheater.

SUMMARY

The core of this key position will be to deliver and manage sales and service operations at Richmond Raceway Complex while maximizing the profitability of the business. Critical to this position will be managing the profit and loss statement associated with this business. The position is responsible for managing the entire delivery process of all events from sale to close out of an event in an efficient manner. Additionally, this position will directly manage the Operations staff for the Complex Event business on a daily basis to ensure all business needs are met in a timely and efficient manner. The objective is to manage the event process to ensure the client has an exceptional experience while meeting revenue and budgeted profit margins through strong leadership at the sales and operations levels.

The Director will provide direction on policies and procedures to ensure the business operation is at peak efficiency and of high quality.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duities may be assigned.

  • Maximize the profitability of the business by securing sales opportunities and defining marketing objectives at Richmond Raceway Complex including the contracting of consumer trade shows, corporate meetings and events, festivals, concerts, driving schools, Torque Club rentals, facility sponsorships etc…with the objective of renewal of existing business and the procurement of new business that align with sales strategy.
  • Develop long-term strategic direction of ancillary events.
  • Develop a detailed annual sales plan for the business that aligns with financial budget and execute plan. Target plan to include driving event inventory to maximize profitability opportunities.
  • Expand business model through the addition of new inventory/event creation.
  • Manage the P&L for the department analyzing and implementing opportunities to improve operating efficiencies.
  • Direct the operations staff on a daily basis to assure peak department efficiencies.
  • Manage the Supervisor of the Events (Ops) business to drive peak performance of the support staff.
  • Analysis of profit margin for each event to look at ways of improving the profitability of the business as a whole.
  • Develop operations staff through training and evaluations to strengthen skillsets and elevate productivity levels.
  • Manage staff scheduling in an efficient manner through ABI to maximize department profitability.
  • Coordinate, schedule and manage contracted services for race events as defined by senior management.
  • Manage assigned race related responsibilities.  
  • Assist in setting policies and procedures that assure peak operational efficiency of the department.
  • Work directly with the Event Coordinator on the scheduling, coordination and execution of the event. 
  • Develop and execute an annual revenue and expense budget for approval and subsequent implementation of such plan.
  • Manage accounts receivable/payable associated with RRC business and through WebNow.
  • Assist department in capital project recommendations.
  • Work to resolve challenges and provide information to facility customers all the while instilling RIR’s commitment to excellence.
  • Develop and post content to a complex website, Facebook and other social media.
  • Serve as the representative of Richmond Raceway Complex in corporate and association trade memberships. Utilize networking relationships to maximize visibility and generate sales opportunities for the Complex.
  • Provide excellent customer service.  Manage the delivery of all on-site customer requirements.
  • Perform other duties as required.
  • Use professionalism to project the RIR image of impeccable customer service.
  • Display qualities that support the Vision and Mission of RIR.

SUPERVISORY RESPONSIBILITIES

Directly supervise assigned staff.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS / EXPERIENCE

  • Minimum of five (5) years of proven sales history in corporate, stadium, convention, entertaining or hotel room sales with a strong operational skillset.

EDUCATION / TRAINING

  • Preferred Bachelor degree in Sales, Marketing, Facility Management, Hospitality Management or related field.
  • Possession of or ability to obtain a current CPR / AED certificate
  • Possession of or ability to obtain a Virginia driver’s license

ACCOUNTABILITIES

  • Must be able to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays and extended numbers of days.  (Race events)
  • Motivated self-starter, team player, capable of managing multiple priorities in a dynamic, fast-paced environment.
  • Strong internal/external customer relations and communication skills, both written and verbal.  Ability to communicate confidently and effectively in a group setting and comfortable making both telemarketing and in person cold calls.
  • Basic knowledge of operational characteristics of event management.
  • Exhibit superior Customer Service practices.
  • Must be capable of managing self and projecting positive image when dealing with high pressure situations in a constantly changing environment.
  • Knowledge of relevant federal, state, and local regulations.
  • Knowledge of the CIP process.
  • Must have computer skills in Microsoft office applications and word processing, spreadsheets, database, presentation, and internet software.
  • Must communicate clearly and concisely in the English language, both orally and in writing.
  • Must be able to establish and maintain effective working relationships with staff, contractors, vendors and facility users.
