Administration Assistant, Corporate Sales - Event Staff

Nestled on more than 1,400 acres in the Irish Hills of Southeastern Michigan, Michigan International Speedway is a track rich in racing history. It has been the love of NASCAR racing and the thrill of a great time that has made it a favorite of race fans and drivers alike for more than 50 years. Michigan International Speedway has more than 12 campground and is the state of Michigan’s largest registered campground. In addition to two great weekends of racing, the speedway is home to events throughout the year including the MIS Backyard Hockey Tournament, Faster Horses Festival and Nite Lites.

Duties include but are not limited to:  

  • Provide a wide range of support for designated assigned projects from corporate sales, special events, and event experience teams
  • Manage Track President’s calendar and assist with meetings and scheduling
  • Creation of various reports and presentations using Microsoft Word, Excel, PowerPoint
  • Preparation of event communication, presentations, schedules and itineraries
  • Manage the President’s Suite for special events; including guest list oversight and invite/RSVP tracking
  • Assist with coordination of guest hotel room blocks
  • Assist with suite and hospitality management; including guest communication, credential requests, pass distribution, and on-site execution
  • Assist with accumulation of impression data and proof of performance for partners
  • Assist with event experience team during event weekend
  • Support partners and other guests during event weekend
  • General administrative support; including invoice processing, maintaining files, and other miscellaneous tasks as needed

QUALIFICATIONS

  • Ability to work effectively to meet time-sensitive deadlines 
  • Highly motivated and willing to take on ad-hoc work at times 
  • Demonstrated team player with excellent organizational skills and ability to anticipate needs
  • Proficient with Microsoft Word, Excel, PowerPoint, Outlook and preferably SharePoint 
  • Excellent verbal, written, and interpersonal skills with the ability to interact with clients, officers, and peers in a professional manner
  • Handle assignments with a high level of confidentiality and discretion 
  • Ability to prepare and edit presentations/documents accurately 
  • Good organizational skills and the ability to prioritize work flow. You should demonstrate flexibility to handle multiple tasks and unexpected work while working well under pressure and be comfortable in a fast pace environment 
  • Detail oriented and able to prioritize, multi-task and negotiate conflicting deadlines
  • Ability to work weekend and evening hours as needed
