Accounts and Administration Assistant

Hedley Cowell Events Ltd is part of a family run group of companies covering several different industries from Motorsport to Property. We are based in Liphook, Hampshire and are currently looking for an Accounts & Administration Assistant to join our team.

Responsibilities will include

Sales & Purchase Ledger key responsibilities

Duties within Sales & Purchase Ledger can include any or all of the following:

  • Matching, checking and entering invoices
  • Responsible for VAT returns
  • Making payments via BACS and cheques
  • Processing staff expenses
  • Setting up of new supplier accounts and maintaining existing account details
  • Reconciliation of supplier statements
  • Reconciling bank statements - Stirling & Foreign currencies
  • Filing invoices
  • Managing petty cash
  • Being first point of contact for all relevant enquiries
  • Maintaining strong relationships with customers and suppliers
  • Reviewing systems and processes and making improvements where necessary
  • Management of sales ledger
  • Maintaining accounts, verifying and posting transactions
  • Balancing accounts on a day-to-day or week-to-week basis
  • Managing client invoices & payments
  • Working closely with the Managing Director to prepare schedules, statements and reports
  • Taking a proactive role in managing company creditors & debtors
  • Checking and posting of receipts to accounting systems
  • Providing event management administrative support to the Managing Director and team, including answering the phone, taking messages, filing and post. This is not exhaustive and can be added to

The Ideal Candidate

  • Matching, checking and entering invoices
  • Excellent communication skills
  • Solid organisational and team working skills
  • Self-disciplined and efficient, with a flexible and proactive nature
  • Focused and diligent, with excellent attention to detail
  • Knowledge of both software packages - SAGE 50 Accounts & XERO
  • Experience of manual bookkeeping
  • Ability to work to deadlines
  • Superb IT skills, including proficiency in data entry, Excel and Microsoft Office
  • Demonstrable experience in a similar role
  • Ability to successfully communicate with people across the business
  • Possess first-rate numerical skills

Additional Requirements

  • Must have Full UK Driving Licences
  • Hours of work - 9am to 5pm Monday to Friday
  • Candidate will be required to work 9 weekends per annum supporting the business at Motorsport Events around the UK. These are race event days and are therefore longer working hours - Expenses will be paid
