Travel Coordinator

Job Description

We have an exciting opportunity for a Travel Coordinator to join our Race Team Travel Department.

 

Supporting the Race Office with travel arrangements and associated administrative support required to facilitate the smooth operation of the Race Office and travelling operation throughout the business.

 

The ideal candidate will be able to demonstrate a high level of self-motivation and commitment and be able to work within a high-pressure environment to meet tight deadlines. Good communication and organisation skills are pre-requisite.

 

Role & responsibilities:

  • To assist the Head of F1 Travel Operations with organising travel arrangement including (but not limited to) company flights, accommodation, car hire, permits etc for all events/functions and that they are approved in accordance with company procedures

  • Manage passport data, travel visa applications and Covid testing for all travelling employee’s

  • Assisting the Race Office Team in ensuring that travelling personnel always have correct, up to date travel documents, floats and daily allowances in accordance with company procedures

  • To update and maintain Race & Support Team personal data – in line with GDPR

  • Raise purchase orders as required to ensure costs are recorded correctly

  • To be responsible for documenting, ordering, tracking and arranging distribution of team clothing

  • To be responsible for arranging Ad hoc travel for the company

  • General administration

 

Experience:

  • Previous experience in a similar role within F1 or Motorsport industry (desirable)

  • Understanding of current international travel documentation/ visa requirements (beneficial)

  • Understanding of current travel guidelines in relation to Covid – 19 (beneficial)

  • Experience using MS Excel

  • Experience using various data trackers/ management systems (beneficial)

Other:

  • This role does not (as standard) involve any travelling

  • The successful candidate, at the request of the Head of F1 Travel Operations, will be required to be on call, out of hours
