HR Generalist/Benefits Administrator

POSITION SUMMARY:

The HR Generalist/Benefits Administrator assists with the administration of a wide range of HR and payroll processes to ensure efficient and supportive service to all staff. This position will be responsible for providing day-to-day tactical and consultative HR support to employees and management. The HR/Payroll Administrator will act as a point of contact for HR-related queries from employees and external partners.

Salary: $45,000 DOE

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Set up, process and maintain changes to employee files including but not limited to payroll, onboarding, disciplinary action, salary adjustments, direct deposits, etc.
  • Administer company recruiting efforts; posting job ads, organizing resumes and job applications, scheduling job interviews, and assist with candidate screening and the interview process.
  • Manage new hire onboarding paperwork; ensuring background and reference checks are completed.
  • Conduct new employee orientations and onboarding to ensure employees gain an understanding of benefit plans, policies, and procedures.
  • Monitor employee attendance, unplanned absence and processes other time off requests to ensure accuracy of absenteeism tracking.
  • Process Bi-Weekly payroll accurately and on schedule, always double checking your work to ensure accuracy.
  • Manage employee files, initiate drug and background screenings, and conduct routine file audits.
  • Provide support to management and employees regarding all aspects of employee development, including EEO issues, discipline, and terminations.
  • Review and audit employee timeclock record and process payroll adjustments to ensure accuracy of time sheets.
  • Help manage and administer the staff performance evaluations, post-evaluation follow-up and documentation.
  • Maintain the integrity and confidentiality of all Human Resource files and records, including employee personal information, compensation, benefits write-ups and other HR records.
  • Maintain records related to grievances, performance reviews, and disciplinary actions in compliance with EEO, ADA, and HIPPA requirements.
  • Perform file audits to ensure that all required employees' documentation is collected and maintained.
  • Perform new hire, promotion, termination, and other data integrity audits for the HRIS files.
  • Update and proofread company policies, procedures and related documents as needed.
  • Respond to unemployment claims and gather information for representation in response to unemployment hearings.
  • Help facilitate open enrollment and act as point of contact for employee benefit questions and issues (medical, dental, vision, PTO, disability and 401(k)).
  • Help administer the Workers’ Compensation program by working with insurance carrier to report and record injuries; prepare monthly reports for workers’ compensation carrier.
  • Keep company updated regarding all regulatory policies affecting employer compliance with state, local and federal laws.
  • Liaise between third-party drug testing, rehabilitation counseling, worker’s comp on behalf of employees.
  • Assist managers and executive leadership to identify employee advancement and training opportunities.
  • Produce, update and distribute the company staff phone/email directory.
  • Constantly monitor and enforce company policies and code of ethics in support of the Employee Handbook.
  • Performs other HR generalist duties as assigned.

EDUCATION

  • Bachelor's Degree, preferably in Human Resources, Business Administration or similar discipline
  • PHR / SPHR certification preferred

EXPERIENCE / QUALIFICATIONS

  • 3-5 years in an HR Generalist or HR lead admin role.
  • Current detailed knowledge of CA State and federal employment laws and regulations; ability and experience to interpret and effectively ensure compliance with applicable laws and regulations.
  • Impeccable integrity and respect for an adherence to confidentiality and ethical conduct at all times.
  • Ability to make good decisions, including exhibiting sound and accurate judgment; providing timely advice and guidance to employees and management to support the decision-making process, and ability to identify when issues should be escalated.
  • Consistently exhibit dependability, discipline, compassion and professionalism.
  • Strong analytical thinking, problem solving and communications skills (both written and oral) with extraordinary attention to detail.
  • Self-directed with a proven ability to successfully prioritize and manage multiple projects, while still meeting all critical deadlines.
  • Effective team player with excellent interpersonal skills and a commitment to relationship-building, both internally and externally at all levels.
  • Strong computer skills; fluency with Microsoft Office 365 applications (Word, Excel, Outlook).
  • Ability to adapt to a changing environment and remain attentive, flexible, compassionate and responsive.

PHYSICAL REQUIREMENTS

  • Must be performed with or without reasonable accommodation: employee is regularly required to sit and occasionally required to stand and walk. Must be able to communicate well verbally and in writing with proper grammar, spelling and punctuation.
  • The work environment is usually well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. The noise level in the work environment is usually quiet but as a manufacturing site, there is occasional noise from the shop floor.
