POSITION: Finance & Administration Assistant

REPORTING TO: Commercial Manager
Group Finance

REMIT: To provide accurate and timely book-keeping and administrative support to the company to contribute to its efficient and cost- effective operation.

Who are we?
Trac Môn Limited operates Anglesey Circuit, a motorsport venue since the 1990s, which draws participants from across the Uk and Europe for car and motorcycle race meetings. The circuit hosts track days, media and drive experience days also along with other diverse activity.

We are a small core team supplemented by self-employed marshals and medics during the season and as part of the wider Meyrick group with assets in Bodorgan, New Forest and Bournemouth, there is a vast support network behind the circuit team which provides administrative back up as well as a wealth of senior level experience to call upon.

Your new role
We are looking for someone who is a problem-solving self-starter that can work autonomously but is used to being part of a close team. Whilst track activity is predominantly beginning of March to end
November, budgeting, forecasting and contracts mean that the position is a full time one and requires a high attention to detail and clear minded thinking.

What we are looking for
The ideal candidate will have the necessary skills and qualifications as well as experience (set out below), but they need to want to work in a challenging environment and take the time to understand what it is that the numbers relate to, to have an understanding of the different clients and take an interest in the activities that they will be accounting for. This is a small team and will require someone not afraid to help those around them with random tasks to help make the overall client experience first rate.

Functions required

  • Raise sales invoices and enter payments onto accounting system.
  • Assist with the control of aged debt, monitoring when payments are due and following up with the hirer to secure funds in the required timeframe.
  • Prepare and send out contracts and associated documents to hirers of the circuit.
  • Place orders on behalf of the circuit, making sure the purchase is within agreed limits and authorisations.
  • Enter purchase invoices onto accounting software for approval, scanning and emailing invoices to the central accounting function for processing.
  • Reconcile the company credit card and enter onto accounting software.
  • Prepare reports as requested.
  • Assist enquirers in booking testing, TML track days and drive experiences, processing payments online or via pdq machine.
  • Prepare banking of cash receipts from ticket sales, shop sales and on-the-day cash payments, ensuring that gate and shop floats are reset and raising invoices on accounting software.
  • Check payroll hours from timesheets provided by individuals against timeclock reports.
  • Maintenance of office filing systems, both paper and electronic.
  • Various other finance and administrative duties that may be requested to support the running of the business.
