As the nation’s premier Supercar Driving Xperience, Xtreme Xperience is on a mission to make exotic cars accessible to everyone who has ever dreamed of driving one.

We provide driving experiences to guests of all skill levels with our fleet of supercars from Ferrari, Lamborghini, Porsche, McLaren and the like at over 30 Tour locations and a permanent facility in New Orleans. In addition to individual experiences (B2C), Xtreme provides a unique venue for group and corporate event clients (B2B).

SUMMARY
The Event Tour Manager (Event GM) functions as a leader, manager and developer of safety-conscious people and scalable processes to plan, coordinate and execute events against our primary objective of delivering SAFE, profitable and memorable Supercar Driving Xperiences across Xtreme Xperience’s nationwide tour of racetrack-based events.

We are currently hiring for a “Manager-In-Training” capacity, where the individual work directly with the Tour Operations Manager and Safety Director to shadow the role of Event GM for the balance of the 2019 season. During this time, you will assist the Tour Operations Manager in all event and office-related workloads & responsibilities in support of our nationwide tour. This role is expected to be promoted to Tour Manager / Event GM by 2020.

DUTIES and RESPONSIBILITIES
The Event GM is ultimately responsible for the results of each event they manage. “Results” are defined as executing well-coordinated, safe, profitable events, while effectively leading and managing a team of individuals who make up the event team. Objectives also include fostering ongoing growth & development of the processes and individuals that makeup each event.

This individual must exemplify an ownership mentality, project management strengths and the inherent ability to lead individuals to success in their roles & responsibilities – among the team, and throughout the event execution cycle.

This role is supported by a Tour Operations Manager, Event Coordinator, Guest Services Manager, Safety Director, Chief Instructor and Chief Technician. The primary scope of this role includes, but is not limited to:

Team Management (Ownership)

  • Cultivate talent and ownership among individuals through effective leadership, clear communication, event-based metrics and ongoing performance appraisals.
  • Ensure individuals are consistently: organizing their work, meeting deadlines, following standard operating procedures, communicating effectively, prioritizing time for growth and upholding their responsibilities as a team-player.
  • Manage the cycle of Pre-Event, At-Track and Post-Event routines (self & team).
  • Champion a culture of continuous improvement, prioritizing processes and projects that emphasize Xtreme’s (4) pillars; Safety, Consistency, Culture and Customer Service.
  • Event Planning, Coordination and Logistics (Oversight; Collaborative Team Effort)
  • Personnel (staffing, lodging, transportation, daily schedules, food, etc.)
  • Assets (vehicles / trailers / equipment, transportation, scheduling, etc.)
  • Event Logistics (setup & crowd control strategy, guest schedules, drive-counts, etc.)
  • Track & Facilities (contract terms, staffing & contacts, communications, access schedules, event safety, general conditions, etc.)
  • Vendors (safety services, room & equipment rentals, catering, etc.)
  • Budget adherence.

Event Execution (Ownership; Collaborative Team Effort)

  • Oversight of all event operations and support of each department to keep event SAFE, on-schedule and profitable.
  • Assess and adapt to fluctuations in schedules, staffing, capacities, weather and other unexpected circumstances – communication across team is critical.
  • Ensure consistent use and evolution of individual / departmental operating checklists.
  • Daily review & communication of schedules, workloads, goals and objectives, etc.
  • Maintain and care for event equipment and assets.

SUPERVISORY RESPONSIBILITIES

  • Does not directly supervise employees or contractors outside of events while “in-training”. The individuals you lead, manage and rely on to plan & execute events will report to you in-office throughout the cycle of event planning and execution. However, they are ultimately supervised by their respective department-head within the Operations Department to ensure consistency across all business units. Upon completion of training, you may directly supervise (2-3) individuals (Event Coordinator, Event Guest Services Manager, Event Chief Instructor).
  • Directly supervises 3-5 individuals during the course of an event (at-track leadership team).
  • Indirectly supervises entire event-staff during course of event. Event is staffed with up to ~30 individuals (employees and contractors), who are supervised through the at-track leadership team.
  • You will carry out any supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training staff; planning, assigning, and directing work; appraising performance; rewarding / disciplining staff; addressing complaints / resolving issues

QUALIFICATIONS

  • Required: Bachelor’s degree or equivalent combination of training & experience.
  • Required: Minimum (3) years experience in an operations or event management role.
  • Required: Minimum (4) years experience managing people / leading a team.
  • Strongly preferred for a candidate’s success: Working knowledge of the motorsports industry, tour-based events, vehicle systems, racing / high-performance driving-instruction, coaching, team-management, motorsports or O.S.H.A safety regulations.
  • Computer skills required: Google Suite; Microsoft Office; project management software(s) (i.e. Basecamp, Asana, etc.), budget tracking software(s) basics (i.e. Quickbooks, Quicken, etc.).
